Is CampusFlow FERPA compliant?

Yes. CampusFlow is designed from the ground up to comply with the Family Educational Rights and Privacy Act (FERPA). All student education records are stored with encryption at rest and in transit, access is restricted by role-based permissions, and every data access event is logged in a full audit trail. We sign FERPA-compliant data sharing agreements with every school and district.

Where is student data stored?

All data is stored in SOC 2 Type II certified data centers located in the United States. We use enterprise-grade PostgreSQL databases with AES-256 encryption at rest. Data is never stored on local devices, and backups are encrypted and retained for 90 days.

Does CampusFlow sell or share student data?

Never. CampusFlow does not sell, rent, or share student data with third parties for advertising, marketing, or any purpose beyond providing the service. Your student data belongs to your institution, and we act solely as a data processor on your behalf.

How does CampusFlow handle parent consent for data collection?

CampusFlow includes built-in parent consent workflows. During enrollment, parents review and digitally sign consent forms that clearly explain what data is collected, how it is used, and their rights under FERPA. Consent records are stored and accessible for auditing. Parents can request access to their child's records or request data deletion at any time through the parent portal.

What happens to our data if we cancel?

Upon cancellation, you have 60 days to export all your data in standard formats (CSV, PDF). After the export window, all data is permanently and irreversibly deleted from our systems, including backups. We provide a certificate of data destruction upon request.

State Reporting & Compliance

Which state reporting formats does CampusFlow support?

CampusFlow supports state reporting for all 50 US states. Our compliance team maintains up-to-date templates for enrollment counts, attendance summaries, demographic data, discipline records, and special education reporting. Reports are generated in the exact format your state education agency requires, including CALPADS (California), TEDS (Texas), SIMS (Massachusetts), and many more.

Can CampusFlow help with Title I, Title III, or IDEA reporting?

Yes. CampusFlow tracks the data points required for federal program reporting, including Title I eligibility (free and reduced lunch counts), Title III language proficiency data, and IDEA special education service logs. Reports can be generated on demand or scheduled for automatic delivery before filing deadlines.

How does CampusFlow handle immunization compliance tracking?

CampusFlow maintains a vaccination compliance module that tracks required immunizations by state, flags students with missing or expired records, generates exemption reports, and sends automated reminders to families. The system supports medical, religious, and philosophical exemption tracking where applicable by state law.

Accreditation

Does CampusFlow help with accreditation preparation?

Yes. CampusFlow maintains an ongoing repository of documentation that accreditation bodies commonly request: staff credential records, professional development logs, curriculum documentation, safety drill records, policy acknowledgments, and financial records. When accreditation review time comes, your documentation is already organized and current rather than requiring a last-minute scramble.

Which accreditation bodies does CampusFlow support?

CampusFlow supports documentation requirements for AdvancED/Cognia, NAIS, ACSI, WASC, SACS, and state-specific accreditation processes. If your accreditation body is not listed, contact us and our team will configure the appropriate documentation templates for your needs.

LMS & SIS Integration

What student information systems does CampusFlow integrate with?

CampusFlow integrates with PowerSchool, Infinite Campus, Skyward, FACTS/RenWeb, Blackbaud, Veracross, and other major SIS platforms. We use standard APIs and CSV import/export to sync student records, grades, and attendance data. If your SIS has an API, we can build a connector for it.

Does CampusFlow work with our learning management system?

Yes. CampusFlow integrates with Google Classroom, Canvas, Schoology, Moodle, and Brightspace through their official APIs. Student roster data, assignment completion status, and gradebook information can sync between CampusFlow and your LMS to keep parent communication accurate and current.

Can CampusFlow replace our current SIS?

CampusFlow is designed to complement your existing SIS, not replace it. We handle the administrative workflow layer — enrollment processing, parent communication, attendance notifications, and billing — while your SIS remains the system of record for academic data. This approach means you get powerful automation without disrupting the tools your teachers already know.

Does CampusFlow integrate with payment processors?

Yes. Tuition billing integrates with Stripe for credit/debit card and ACH payments. Families can pay online through a branded payment portal, set up autopay, or manage payment plans. All transactions are PCI-compliant and reconciled automatically.

Getting Started

How long does setup take?

Most schools are fully operational on CampusFlow within one to two weeks. The process includes importing your student roster, configuring your academic calendar, setting up communication preferences, and connecting integrations. Starter plan customers can self-serve the setup; School and District plans include guided onboarding with our customer success team.

Is CampusFlow suitable for tutoring centers, not just schools?

Absolutely. CampusFlow is built for both traditional schools and tutoring centers. Tutoring center features include session booking, recurring appointment management, instructor scheduling, per-session or package-based billing, and parent progress updates. Many tutoring centers with 20 or more students use the Starter plan.

Can we try CampusFlow before committing?

Yes. Every plan includes a 14-day free trial with full feature access. No credit card is required to start. Import a subset of your student data, test the enrollment pipeline, send test communications, and explore reporting before making a decision.

What kind of support do you offer?

All plans include email support with a response time of under 4 hours during business hours. School plans add priority support with phone access.
